GENERAL TERMS AND CONDITIONS OF PARTICIPATION IN THE BOOTCAMP

1. OBJECT OF THE CONTRACT

These terms and conditions govern the contract between WeRoad Italia S.r.l., a single-member company (hereinafter “WeRoad”), and the Participant who intends to attend the Bootcamp. The Bootcamp consists of two days of activities (Saturday and Sunday) aimed at selecting Coordinators for WeRoad’s organized trips. For more details on the Bootcamp program and the Coordinator selection process, please refer to the website www.weroad.com under the "Become a Coordinator" section.

2. CONTRACT FORMATION

The contract between the parties is concluded upon the formalization of participation – as described below – and the subsequent payment of the registration fee.

2.1 Formalization of Participation

The Participant must:

Apply directly on the website www.weroad.com under the "Become a Coordinator" section by filling out the appropriate form, accepting these general conditions, and authorizing WeRoad to process their personal data in accordance with current regulations.

If WeRoad is interested in the Participant’s application, they will be invited to a Group Interview with other aspiring coordinators. More information on the Group Interview can be found on the website www.weroad.com.

If the Group Interview is successful, the Participant will receive a written communication from WeRoad confirming admission to the Bootcamp. This communication will also specify the payment methods and the strict deadline by which the Participant must pay the registration fee.

WeRoad reserves full and total discretion in evaluating applications and determining whether candidates pass the Group Interview.

2.2 Registration Fee and Payment Methods

The registration fee for the Bootcamp is €160 (one hundred sixty/00) VAT included. This amount must be paid by the Participant within the deadline specified in the admission communication.

No discounts on the registration fee will be granted if the Participant resides in the city where the Bootcamp takes place and/or decides not to stay at the accommodation chosen by WeRoad.

Any issues encountered during the registration process must be reported to [email protected].

3. SERVICES INCLUDED IN THE REGISTRATION FEE

By paying the registration fee, the Participant will be entitled to the following services:

Group activities led by the WeRoad team, taking place on Sunday (half-day). More information about the selection program can be found on the website www.weroad.it.

  • “Aspiring Coordinator” kit, including a t-shirt, a badge, and a tote bag.

  • Accommodation for Saturday night at a lodging selected by WeRoad.

  • Saturday night dinner.

  • Sunday morning breakfast.

Anything not explicitly listed above (e.g., additional meals, transportation, etc.) is expressly excluded from the registration fee.

4. WITHDRAWAL FROM THE CONTRACT AND TRANSFER OF THE REGISTRATION FEE

After formalizing participation as described above, the Participant has the right to withdraw from this contract and request a full refund of the registration fee, provided that the withdrawal request is sent to WeRoad at least 30 (thirty) days before the Bootcamp date. The withdrawal must be communicated via email to [email protected].

Alternatively, the Participant may use the registration fee for a future Bootcamp by notifying [email protected] at least 20 (twenty) days before the event.

5. CANCELLATION/POSTPONEMENT AND MODIFICATIONS OF THE BOOTCAMP

WeRoad reserves the unconditional right to cancel or postpone the Bootcamp. In such cases, WeRoad will only refund the registration fee paid by the Participant. Additionally, WeRoad reserves the right to make any modifications to the Bootcamp’s activities and selection events.

6. APPLICATION OUTCOME

At the end of the Bootcamp, each Participant will receive an email from WeRoad notifying them whether they have been deemed suitable for the role of WeRoad Travel Coordinator.

This suitability assessment is entirely and exclusively at WeRoad’s discretion. It is explicitly stated that if a Bootcamp Participant is not considered suitable to become a WeRoad Travel Coordinator, they will not be entitled to any refund of the registration fee.

7. COMPLAINTS AND FORMAL COMMUNICATIONS

Any complaints and/or formal communications must be sent to [email protected].

8. MATERIAL, INTELLECTUAL PROPERTY, AND CONFIDENTIALITY

The Participant acknowledges that any documents and/or images used during the Bootcamp are the property of WeRoad and/or its licensors. These materials are protected by copyright and may be confidential. The Participant agrees not to disclose their content.

9. MEDIA RELEASE

During the Bootcamp, photos and videos will be taken, which may include participants (the “Images”) to enhance engagement in the event and for promotional purposes.

By registering for the Bootcamp—and therefore accepting these General Terms and Conditions—the Participant grants the organizer the free right to use, distribute, reproduce, edit, modify, publish, and communicate the Images to the public on any medium, including social media pages, for the organizer’s informational and promotional purposes.

The Participant is always free to opt out of being photographed/filmed and/or to revoke this authorization at any time by notifying the organizer in writing.

10. APPLICABLE LAW AND JURISDICTION

Any disputes relating to these general conditions shall be governed by Italian law. For any disputes concerning the interpretation, application, and execution of these general conditions, the Court of Milan shall have exclusive jurisdiction.
